Privacy policy

We collect only what AquaFocus needs to prepare your water reports:

• Account details: your name, email address, a hashed password, and the companies you belong to and your role in each.
• Company and site information: facility names and addresses, site locations and boundaries, water sources, wells, meters, monthly volumes, sales and buyers, and the filings you prepare.
• Documents you upload: bills, meter logs, prior surveys and similar files, the text we read from them, and summaries of them.
• Messages you send us: support requests, contact forms, data access requests, partner applications and referral requests.
• Technical records: your IP address, browser, and a log of the changes made in each company (who changed what, and when). We use these to keep the service secure and to show your team an accurate history.

We use cookies only to keep you signed in and to protect forms from cross-site requests. We don’t use advertising or analytics trackers.

We use your information to run AquaFocus for you: to store and organize your records, suggest values for your filings, check them against the form’s rules, produce the files you submit to regulators, and answer your questions. We email you about your account, invitations and filings. We don’t sell your information, and we don’t use it for advertising.

Everything a company stores in AquaFocus, including its sites, volumes, documents and filings, is visible only to that company’s members, according to the roles its owners and admins assign. We don’t publish it, and we don’t share it with other customers.

Our public water data (water prices by city and Texas reference maps) comes from public sources. It never includes your company’s data.

When you upload a document or use “Fill with AI”, AquaFocus sends the document’s contents, and the parts of your filing needed to interpret it, to Anthropic for processing by its Claude models. Anthropic processes that data to return a result to us, under its commercial terms, which don’t allow it to train its models on the data we send.

AI suggestions are only suggestions. Nothing is added to a filing until someone on your team accepts it, and every accepted value records where it came from.

We share information only in these cases:

• Service providers that host and run AquaFocus for us: cloud servers and databases, encrypted file storage, email delivery (Mailgun), and Anthropic for the AI processing described above. They may use the data only to provide their service to us.
• Partner referrals, only when you ask. If you choose “Connect with a professional”, we send the partner you picked your name, email, company, and the details of the form and site you were working on, and copy you on the email. We tell you exactly what will be shared before you send it. Partners are independent businesses with their own privacy practices.
• Abundance support staff. A small number of our staff can look at a company’s records to help with support. Each visit to a company is logged, and staff who need to make changes open a support session that records their reason and shows up in the company’s activity feed.
• When the law requires it, or to protect the rights, safety and security of our customers, the public or Abundance Industries.
• If our business changes hands, your information would move with it, and this policy would keep applying to it.

We don’t file anything with a regulator on your behalf. You download the finished files and submit them yourself.

Data travels over encrypted connections and uploaded files are stored encrypted and scanned for malware. Access inside AquaFocus follows your company’s roles, and changes are recorded in an append-only activity log. No system is perfectly secure; if we learn of a breach that affects your information, we’ll tell you promptly.

You can see and correct most of your information in the app. Company owners can remove members, sites and documents. To get a copy of your data, close your account or delete a company, email support@abundance.industries. We’ll confirm the request comes from you, then act on it.

We keep information while your account or company is active. After it’s closed we delete it, except records we must keep by law, backups that expire on their own schedule, and the activity log entries needed to show who made changes to a filing.

AquaFocus is a business tool for people reporting water use for a company or facility. It isn’t meant for children, and we don’t knowingly collect information from anyone under 16.

If we change this policy in a way that matters, we’ll update the date above and tell signed-in users by email or in the app before the change takes effect.
